Check in a return, including a partial return

Record actual return time, count returned and outstanding equipment, and review condition and balance.

Physical arrival and financial settlement are different events. At check-in, record the actual time and what came back. Leave outstanding equipment visible when the customer returns only part of a rental.

  1. Open Rentals, find the Active rental, and choose Return. The separate Return list can also help your team find expected returns.
  2. On Record return, enter Return date and Return time, then select Update amounts to review any time-based change.
  3. Under Returned items, count each product, asset, and kit component against the check-out record or packing list. Mark the quantities as Returned, Damaged, Lost, or Outstanding as observed.
  4. Record condition issues factually and review any proposed maintenance or charge. Do not assign responsibility or a damage fee without your business's evidence and agreed terms.
  5. If every checked-out unit has returned, review the financial summary and select Complete return. For units still with the customer, choose Record partial return and confirm the remaining quantity.
  6. Reopen the rental to check the outstanding items and any receivable. Record a customer payment separately if one was actually collected.

Note: Only an active rental can enter this return flow. A partial return may block the Extend action; edit the rental period for the remaining items when appropriate. Returning equipment does not automatically mean the customer paid. Have your legal advisor review the return document and any charge to the customer before you use them.
